1. Who we are

Orbital Digital Monties, LLC (“OrbFit,” “we,” “us,” or “our”) is a Florida limited liability company. We provide a fitness training journal and related features such as programs, credits, subscriptions, coach seats, coach-published programs, and in-app training guidance.

OrbFit is not a medical provider, healthcare facility, health insurer, or HIPAA covered entity. Information you enter about training and body metrics is wellness and fitness information, not a medical record.

2. Age requirement

The Services are for people who are 18 years of age or older. We do not knowingly collect personal information from anyone under 18. If you believe a person under 18 has provided us personal information, contact us at support@orbfitoutpost.com and we will take appropriate steps to delete it.

3. Information we collect

3.1 Information you provide

Depending on how you use the Services, you may provide:

  • Account information, such as your name, email address, and password, or information from a sign-in provider you choose (for example, Google)
  • Profile information, such as age band, gender (where the product allows you to set it), height, weight, training schedule, and training environment preferences
  • Training journal content, such as workouts, sets, loads, notes, and other logs you save
  • Body and fitness metrics you choose to enter. These are wellness and training records, not protected health information under HIPAA
  • Purchases and what you’ve unlocked, such as credit packs, programs, subscriptions, and coach seat status. Card payments are processed by Stripe. We may keep limited billing details such as card brand, last four digits, and what you bought. We do not store full card numbers
  • Coach-related information, if you apply for, accept, or use a coach seat: application details, messages, and membership information. When you are connected to a coach, that coach may receive your name, relevant profile information, and training information needed to coach you
  • Programs and other content you publish, if you are a coach or other publisher on Outpost
  • Support communications you send to us

3.2 Information we collect automatically

When you use the Services, we collect information about your device and how you use the Services, including:

  • Device type, browser or app version, operating system, and similar technical data
  • IP address and approximate location derived from IP address
  • Log data such as dates and times of access, pages or screens viewed, and diagnostic or crash information
  • Cookies and similar technologies used to keep you signed in and operate the Services
  • Sign-in and security events, such as email confirmation and password reset activity

We do not collect precise device location (such as GPS) unless you later enable a feature that requires it and we update this Policy accordingly. We do not currently integrate with Google Health Connect or similar third-party health platforms.

If you later connect a wearable, enable push notifications, or import activity from another service, we collect the information needed to operate that connection.

4. How we use information

We use the information we collect to:

  • Provide, operate, and improve the Services
  • Create and manage your account
  • Process purchases and keep track of what you bought
  • Share relevant profile and training information with a coach you choose to connect with
  • Host and deliver programs and other content you purchase or are assigned
  • Provide OrbCoach and similar in-app guidance, which may use artificial intelligence and model providers (including Google) to process profile and journal information you have saved, for training guidance only
  • Send transactional messages, such as confirmations, receipts, and security notices
  • Respond to your requests and provide support
  • Detect, prevent, and address fraud, abuse, and security issues
  • Comply with law and enforce our terms

We will ask for your consent before using your information for a purpose that is not covered by this Policy, where consent is required.

5. How we share information

We do not sell your personal information.

We share information only in these situations:

5.1 Service providers

We use trusted companies to help us operate the Services. They process information on our behalf and only as needed to provide their services. These include providers for:

  • Payment processing (Stripe)
  • Companies that host our apps and keep you signed in (including Vercel and Supabase)
  • Sign-in and, where applicable, AI model processing (Google)
  • Transactional email delivery (Resend)
  • Error monitoring and performance diagnostics (Sentry)
  • App stores, when you install or buy through Apple, Google, or similar platforms

5.2 Coaches you choose

If you connect with a coach through the Services, we share the information needed for that coaching relationship, such as your name, profile details, and relevant training journal information.

5.3 Legal and safety reasons

We may share information if we believe in good faith that disclosure is reasonably necessary to:

  • Comply with law, regulation, legal process, or a valid governmental request
  • Enforce our Terms of Service and investigate potential violations
  • Detect, prevent, or address fraud, security, or technical issues
  • Protect the rights, property, or safety of OrbFit, our users, or the public

5.4 Business transfers

If OrbFit is involved in a merger, acquisition, financing, reorganization, or sale of assets, your information may be transferred as part of that transaction. We will continue to protect your information as described in this Policy and will provide notice if it becomes subject to a different policy.

Independent coaches are not OrbFit employees. When a coach receives your information through the Services, they are responsible for how they use it to coach you, subject to our Terms and any coach agreement that applies to them.

6. Your choices

You can:

  • Review and update certain profile information in the Services
  • Request access to, correction of, or deletion of your personal information by emailing support@orbfitoutpost.com
  • Use in-product account controls, including account deletion where available (see also https://www.orbfitoutpost.com/account/delete)
  • Cancel subscriptions or seats using the controls in the Services or, if you purchased through an app store, through that store’s tools

We may need to verify your request before completing it. We may retain certain information when required for legal, security, fraud-prevention, tax, accounting, or similar purposes.

7. Retention

We keep personal information for as long as your account is active or as needed to provide the Services. After you delete your account or request deletion, we delete it, or remove details that identify you, when we no longer need it — except where we must keep records for legal, security, fraud-prevention, tax, accounting, or similar purposes. Purchase records may be kept as transaction records where required.

8. Security

We use administrative, technical, and organizational measures designed to protect personal information, including encryption in transit. No method of transmission or storage is completely secure. Please protect your password and notify us if you believe your account has been compromised.

9. Where we process information

We operate in the United States. If you use the Services from outside the United States, you understand that your information will be processed in the United States, which may have different data-protection laws than your country.

10. Children’s privacy

The Services are not directed to children under 18, and we do not knowingly collect personal information from them. See the age requirement above.

11. Changes to this Policy

We may update this Privacy Policy from time to time. When we do, we will revise the effective date above. If changes are material, we will provide additional notice as appropriate, such as through the Services or by email. Continued use of the Services after the effective date of an updated Policy means you acknowledge the updated Policy, except where applicable law requires a different form of consent.
